Job Description

We are looking for an experienced Executive Assistant to perform advanced, diversified, and confidential administrative duties requiring broad and comprehensive experience, skill, and knowledge of organizational policies and practices.

  • Manage executive calendars, scheduling appointments, coordinate meetings and take minutes
  • Screen and respond to emails, phone calls, and other correspondence on behalf of executives
  • Prepare, edit, and manage documents, reports, and presentations as needed
  • Make travel arrangements, including booking flights, hotels, and transportation
  • Conduct research and compile data to support executive decision-making
  • Assist with project management tasks, including tracking deadlines and milestones
  • Plan, organize, and coordinate virtual and in-person events, such as conferences, team meetings, and client engagements
  • Assist with social media management and basic content creation as needed.
  • Assist in developing standard operating procedures

Requirements

  • College-educated
  • Candidates must provide either an NBI Clearance or Police Clearance (preferred) upon hiring
  • Must be comfortable with using Hubstaff, a time-tracking application
  • Proven experience in executive assistance
  • Experience in using CRMs and other relevant software
  • Project management experience (Monday, Asana, Trello)
  • Familiarity with social media platforms and editing tools such as Canva and Adobe Suite
  • Professional-level English (written and verbal/voice)
  • Computer or laptop with access to the internet (min speed of 25 Mbps)
